I love using Toby and set up six separate workspaces for different contexts (personal, my business, two nonprofits, a client, and an advocacy group). I’m the only user across all of them.
Issue: Upgrade flow is confusing for multi-workspace users
When upgrading to “Unlimited,” the flow strongly implies I’m upgrading my account globally. After payment, I discovered the upgrade applied to only one workspace.
This is especially confusing for solo users managing multiple workspaces, and it creates anxiety about being charged multiple times.
Why this matters
Lack of clarity erodes trust and makes budgeting difficult for individuals and small orgs (including nonprofits) who segment work into multiple workspaces.
I’ve seen other users report similar confusion: they believed the plan was account-wide but later learned it’s per-workspace, leading to unexpected charges or the need to contact support for refunds or transfers.
Suggested fixes
Add a prominent statement on the pricing and checkout pages: “Plans apply per workspace (not account-wide).”
During checkout, explicitly show which workspace is being upgraded, with an option to switch before purchase.
Require a confirmation checkbox: “I understand this upgrade applies only to [Workspace Name].”
Offer an account-wide plan option
Provide a “Global (All Workspaces) Plan” for solo users or a discounted bundle for multiple workspaces.
Alternatively, let users select multiple workspaces to upgrade in one transaction with transparent per-workspace pricing.
Improve billing overview and management
Add a Billing Dashboard showing:
Allow transferring an active subscription from one workspace to another without contacting support (with pro‑rated adjustments).
Make pricing and policy language unambiguous
On the pricing page, add a “How billing works” section:
Add a tooltip or info icon next to “Unlimited” on workspace settings that reiterates the per‑workspace scope.
Reduce accidental purchases
If a user has multiple workspaces, display an interstitial step: “Select which workspace(s) to upgrade” with counts and totals.
Show a pre‑purchase summary: “[Workspace A]: Unlimited — $X/mo; [Others]: Free” + grand total.
Post‑purchase safeguards
Send a receipt that explicitly names the upgraded workspace.
Include a one‑click “Move this subscription to another workspace” link for the first 24–48 hours.
Consider solo/multi‑workspace personas
Detect single‑member, multi‑workspace accounts and surface:
Support and self‑service FAQs
Add a dedicated FAQ: “Is Unlimited per account or per workspace?” with clear examples and screenshots.
Provide a self‑service form for plan transfers, upgrades/downgrades across workspaces, and prorated refunds.
Other users’ complaints (pattern summary) and solutions
Complaint: “I upgraded thinking it covered my whole account; it only applied to one workspace.”
Solutions: Clear per‑workspace labeling on pricing/checkout; workspace picker at checkout; confirmation checkbox; explicit receipts.
Complaint: “I was charged multiple times across workspaces without realizing plans are separate.”
Solutions: Billing Dashboard with all active subscriptions; consolidated monthly invoice option; multi‑workspace bundles; early warning if upgrading a second workspace.
Complaint: “Had to contact support to move an upgrade to a different workspace.”
Solutions: Self‑service transfer with prorating; grace period for post‑purchase changes.
